Portal enquiries that get called back, not buried in a shared inbox — for real estate agencies
Make It Happen builds CRM and lead systems for real estate agencies: enquiries from portals, your own site, messaging apps and calls landing as one kind of record, routed to an agent with a next step attached, and reported by source from first contact to signed.
This page describes what the studio builds for this kind of business. It does not claim a delivered engagement in that industry — where one exists, it is published on that industry's own page.
What this looks like today
An enquiry arrives from a portal into a shared inbox at ten past eight. Three agents see it, two assume the other one has it, and the buyer books a viewing with the agency that called back in four minutes. Nobody is at fault and nobody can prove it.
The same person enquires about three listings across two portals and a form on your site. That is three records, or one, depending on who typed them in. At the end of the month the lead count is a number nobody defends.
Agents keep their deals where it is convenient: a phone, a notebook, a private chat. When one leaves, the buyers leave with them, and the listing that was 'nearly closed' turns out to have had no contact in nineteen days.
What you get
Capture from portals, your own site, messaging apps and calls, all landing as one kind of record with the source and the listing attached.
Automatic routing, so an enquiry has an owner and a response deadline before anybody opens it.
Duplicate detection, so the same buyer enquiring on three listings is one person with three interests rather than three leads.
A pipeline shaped like the way you actually sell — enquiry, qualification, viewing, offer, close — with a visible record when a follow-up slips.
Reporting on conversion per portal and per agent, from first contact through viewing to signed.
What this is not
We do not publish or syndicate your listings to the portals. We capture and work what comes back from them; the listing feed itself stays with whoever runs it today.
We do not provide the telephone system. Calls are logged against a record, but the lines, the dialer and the call recording are bought in your name and we build against them.
We do not import history we cannot verify. Half-filled, duplicated records from an old system poison the reporting on day one, so we bring across what is clean and archive the rest.
Questions buyers actually ask
Can it catch enquiries from the property portals and from messaging apps?
Yes. Portal enquiries, forms on your own site, messaging apps and calls all land as the same kind of record with the source and the listing attached. That uniformity is the point: until every surface produces one comparable record, the monthly count is an opinion and conversion per portal cannot be calculated.
Our agents will not use a CRM — what changes?
Usually fewer fields, not more. We cut the stages nobody moves through, make the next step obvious on the record, and train whoever works the leads first rather than the manager. Week one is one capture surface, one pipeline and one routing rule in real use, and nothing else is turned on until that is habit.
Have you worked with a real estate agency?
No agency case is claimed on this page, and we will not borrow one. What we have built is lead systems where enquiries arrive faster than anyone can track them by hand — the same mechanism, different vocabulary. Portals, viewings and offers we learn from your agents before configuring a single stage.
How long until leads stop getting lost?
Three to five weeks to a first working version handling real enquiries rather than a demo. We start with one capture surface and one pipeline, then add the rest once people are using it. A system launched complete and adopted by nobody is the usual way this fails.
The possible part of the impossible.
If you have an idea that shouldn't work, bring it. We will tell you which part is genuinely impossible and which part is only hard. Most of it is the second one.
